Unit 2: working to time scales
Things to consider when planning ( this is what LO3 will be marked on in the exam)
- Task allocation - WHO is doing each task ( during allocation consider each team members specific skills and abilities)
- Scheduling - WHEN does each task need to be done and how long will each task take. ( during allocation 1. Dependencies - where one task needs to be done before another can be completed or begun. 2. Set milestones ( checkpoints to ensure work is up to standard and on schedule) and deadlines are essential to good management )
- Resource allocation - WHAT is required for each task ( during allocation consider what equipment/ resources are required for each task)
- Report creation - HOW have the team completed each task ( during each task ensure the group is communicating well throughout and reflecting on how effectively the team is working together)
Why work to time scales?
- All media productions have a final deadline - so that the project can be distributed on time.
- Deadlines also reduce costs - all people and resources on a media production cost money.
- By planning effectively - using the guidance above - the production company saves money and creates a smooth working environment.
- Without deadlines the planning and pre-production is messy and therefore all the things that u should consider are no longer an option to consider.
Pre-production: during planning, each individual task needs careful scheduling in a linear fashion - milestones are crucial here.
What milestones might you need to mention?

Development/prototype
Script/storyboard
Location recces/Risk assessments/release forms - contingency = alternative location
Hiring crew/equipment/cast
Filming
Production/post-production: the production needs to be monitored to ensure
- Individual set targets within the team
- Personnel, locations, props/costumes and equipment are booked well in advance
- Regular meetings to ensure everyone is on task - again milestones.
- Regular meetings with the client to ensure they are happy with what is being produced and allow for modifications.
What if things go wrong? Contingencies
A good project will always have a contingency. This includes:
- A back up location
- A back up cast member
- Extra time allocated for tasks
- Additional/ replacement tasks If one does not work out
Project management is the role of ensuring that all aspects of a given production run smoothly by overseeing a number of people/ departments.
The project manager would ensure that deadlines are met and the brief is followed by leasing with others and holding them to account.
Project management as an art form…
- Project management is the effective planning and running of a project, from the ideas point to the end product and evaluation
- Planning requires an outline of tasks, deadlines and milestones that will be required to manage the project efficiently
- A project timeline schedule would need to be created for the creation of the media product, to include;
- Tasks that need to be done
- Deadlines for each task
- Milestones within the tasks and the overall project.
Gantt chart - designed by mechanical engineer Henry gantt in 1910, the gantt chart has had a relatively long run as a project management tool. A gantt chart uses horizontal bars to illustrate project completion dates, progress, and milestones and dependencies.
Production schedule - excel:
- Can use it to make to do lists.
- Use the workflow tool; split by team member so that it is clear who is doing what, when.

- Initial pitch or treatment
- Call sheet - generic sheet for whole crew and who is needed for that day
- Budget proposal form
- Budgets
- Contract
- Storyboard
- Set diagram

- Continuity sheet

- Shooting script
